Making a booking

What will happen once I have made my booking?
Once your booking has been made a confirmation invoice will be posted to you. Please check the details on this confirmation and all other documents you receive from us (including tickets) as soon as you receive them.
If I make a booking on the Freedom Flights website or on Viewdata, at what stage will my booking be confirmed?
Your charter flight booking will be confirmed when you receive a Booking reference number from us.
When will I receive my tickets?
We will dispatch the tickets to you approximately 2 weeks prior to departure. If you would prefer, we can also e-mail your tickets, please contact our Customer Services department on 0871 911 4101 and they will arrange this for you.
How much are the deposits?

Meals

Are meals included?
If there is the letter 'V' at the end of the flight number then there is a pay-on-board trolley service. For all other flights, with no letter 'V' at the end a complimentary meal/snack will be provided. This is subject to change.

Agents

What commission do we earn as an Agent?
All agents earn 10% commission on the basic fare, admin fees, cancellation fees, TOD's and group seating.

Children/Infants

How many children can obtain a child discount on a charter booking?
To obtain a child price there must be one adult travelling per child. Child discount prices are not always available. Please check the prices for your chosen journey online or by calling our Reservations Department on 0871 911 4100.
What are the rules regarding travel of infants?
One infant, less than 2 years old on the date of the return journey, may sit on a parent's lap on a flight. Many Airlines will not accept infants for travel if they are less than 6 weeks old. An administration fee will be charged depending on the length of the flight. Please contact our Customer Services Department for further details.
What are the rules regarding travel by unaccompanied minors on charter flights?
We do not accept bookings for any children travelling alone under 16 years of age on the date of travel unless accompanied by an adult aged 18 years or over. Please contact our Customer Services department on 0871 911 4101 for more details.
What are your ages for infants and children?
Infants are classed as under 2 years old. Children are 2 - 12 years old. If an infant is due to be 2 whilst on holiday then a child seat should be purchased for both sectors of the flight. If a child is due to be 13 whilst on holiday then an adult seat must be purchased for both sectors of the flight.
Can an infant be allocated a seat?
Seats can be booked for infants and the adult/child full fare would be charged.

Check In

When do I need to check in for the flight?
Please check-in for your flight approximately 3 hours before the departure time on your ticket/itinerary. If you arrive at the Airport later than the specified check-in time we will not accept responsibility if you are unable to travel.
Which Terminal is the flight departing from?
Terminal information will be provided on your booking confirmation and on the itinerary section of your tickets. However, you may also check the website of the relevant Airport.
Where are TOD's available from?
At LGW tickets are collectable from the XL Leisure Group desk in Zone H in the South Terminal or at the Skybreak desk in the North Terminal. For all other airports TOD's are collectable from the Airport Agencies Desk in the appropriate Terminal.
How do we book extra legroom seats?
Extra legroom seats can only be purchased directly from the Airline, if your customers are travelling with XL Airways then please go to www.xl.com/travelextras and follow the prompts or contact the XL Airways Pre-Flight Department on 0871 911 4221. Please contact any other Airlines directly to arrange extra leg room seats.

Amendments

How do I make changes after I've made my booking?
If you need to make any changes to a booking, please contact our Customer Services department on 0871 911 4101 and quote the booking reference. For the cost of any changes made after the booking has been confirmed please refer to our Booking Conditions.
Can the inbound flight be changed after the outbound flight has been used?
This is not possible as charter tickets are non-transferable and cannot be amended once the outbound date has passed.
How much is it to change the name on a ticket?
More than 42 days prior to departure £20 per name change. Within 42 days of departure £40 per name change. On the day of departure £50 per name change. In addition to this, if the new fare is higher, then this will be charged
Can dates of flights be changed once booked?
Flights can be changed more than 42 full days before departure for a £20 admin per person per change. If the cost of flight the customer is moving to is more expensive then the fare difference is also charged. If the flights are less expensive then no refund will be made. Should the customer want to change the dates of travel within 42 days then the appropriate cancellation fees would apply.

Cancellations

What are the cancellation charges?

Written confirmation is required to cancel a booking and the following charges apply:

There has been a flight change of more than 8 hours, can the customer cancel free of charge?
As per terms and conditions bookings affected by a significant change over 8 hours can cancel free of charge or if they amend to another flight no admin fee will be charged.
If a customer has had a significant change is there any compensation payable?

Compensation is given on significant changes (over 8 hours) that are informed to the agent less than 56 days before departure and are per person not including infants.

Special Requirements

How do I make a special request?
If any passengers have special dietary requirements, questions about specific baggage items or medical queries, please contact our Customer Services Department on 0871 911 4101 and they will pass the request onto the Airline.
What are the rules regarding travel by pregnant women?
Most airlines accept expectant mothers for travel provided they are in a fit condition and not over the 32nd week on the return sector of the flight. Many Airlines, however, will require a doctor's certificate so please check directly with the appropriate airline.
What special arrangements can be made for disabled passengers?
Special arrangements can be made for passengers with disabilities. Please contact our Customer Services Department on 0871 911 4101 where they will be pleased to advise you on the assistance that can be provided.
Can group seating be added?
Group seating, which guarantees all pax on a booking will be sat together, although they may be separated by an aisle, can be arranged with Freedom Flights if the pax are travelling on XL Airways flights. For other carriers it is necessary to contact the appropriate airline directly.

Baggage

What is the luggage allowance?
15kgs pp for short and mid haul, 30kgs until 30th April departures and then from this date 20kgs for Economy class to the Caribbean and 40kgs for XLOne. The luggage allowance will be printed on the tickets
Can pax take windsurfs and golf clubs with them?
All sporting equipment needs to be booked and paid for through the appropriate airline's preflight department. If the flight is booked with XL Airways please visit www.xl.com/travelextras or call 0871 911 4221.
Pax are divers, are they allowed any extra luggage allowance?
XL Airways are the only airline Freedom use who offer an 'extra' luggage allowance. The customer will be asked to show their dive certificates at check in for XL Airways flights and will then be entitled to a max of 10kgs pp for dive equipment only if packed in a separate bag. All excess luggage is subject to load on the day.
What luggage can pax travelling with infants take?
Infants have a hand luggage allowance of 5 kgs. The contents of the hand luggage must follow the Airport Security guidelines which can be found on the appropriate Airports' website. A buggy and nappies can also be carried in addition to the luggage allowance of an accompanying adult.
What are the dimensions allowed for hand luggage?
Customers are currently allowed one piece of hand luggage per person weighing no more than 5kgs per person. The contents of the hand luggage must follow the Airport Security guidelines which can be found on the appropriate airports website. The dimensions of the hand luggage must not exceed not exceed 45cm long x 56cm high x 25cm deep (approx 22ins x 17.7ins x 9.9ins) in dimension. (Flyjet do not allow trolley cases as hand luggage.)
